How to produce a fee review

Regular fee reviews help you stay financially aligned with the work you deliver and identify opportunities to offer other services. GoProposal makes this process quick and efficient.

We recommend:

  • Reviewing payroll fees monthly

  • Reviewing bookkeeping fees quarterly

  • Reviewing all other fees annually

Step 1 - Prepare your proposal templates

  • Create two templates:

    • General fee review template for payroll or bookkeeping reviews

    • Annual fee review template for yearly renewals

  • Configure each template with:

    • Relevant wording in the proposal and email content

    • Correct acceptance settings:

      • For mid-year reviews, set to Proposal Only and No Acceptance

      • Alternatively, use the Acceptance Button Only for simple approval

  • Adjust content:

    • Remove unnecessary sections for lighter templates

    • Include clear instructions in client emails, for example:
“Please find attached your fee review for reference. You don’t need to take any action. We’ll amend your monthly fees”

📌 TIP: Select the Renewal option in your template settings for review scenarios.

Step 2 - Send your fee reviews

  1. Locate the client’s existing proposal in the dashboard.

  2. Click the Actions button and select Duplicate to copy the proposal.

  3. Update the proposal:

    • Adjust services or fees as needed

    • Change the template to your review template

    • Update start and end dates if entering a new financial year

  4. Click Get Calculation to update totals.

  5. Review the proposal details and preview the document.

  6. Send the proposal to the client.

📎 Note: If you've disabled the engagement letter in the template, the system won't send it even though you can preview it.

📌 TIP: If using Auto-Invoicing with QuickBooks or Xero, you can replace existing recurring invoices once the client accepts the proposal, or you mark it as won.
